Volunteer Commitment for Virtual TD

^{Event Dates: September 30th - 2nd (Friday – Sunday)
Virtual Training/Tech Check: September 29th  (Thursday)}

 

 

Location Requirements:

While this is a "virtual" event, some Volunteers must physically come to Carbondale, IL. This is worked out on a case by case basis with each Volunteer, but generally speaking all NPC actors and first-time Virtual DMs need to be physically present at or near the TD Workshop. We are able to train some Virtual DMs remotely, so please consider that as an option if travel is not possible.  Please indicate by checking the box on the next page if you are UNABLE to physically come to Carbondale.

 

Virtual DM Requirements:

Due to the "virtual" nature of this event, ALL Volunteers applying for DM positions must possess at least intermediate computer skills, have adequate internet, be familiar with the Windows operating system, and provide their own computer systems*, the specifications of which include:

• OS: Windows 10 (Sorry, Macs are too difficult to support on this one.)
• CPU: Core i7 CPU (or AMD equivalent) or better
• GPU: DirectX 10.1 compatible GPU
• RAM: 12GB RAM or better
• Storage: Solid State Drive preferred
• Peripherals: Headset with microphone, good webcam. A second monitor is helpful, but not required.
• Experience: Above average computing skills and previous experience with OBS/Streamlabs is a huge plus. Please include any relevant experience in your "additional info" on the last page of your application.
• Note: We're intentionally setting these requirements a bit higher and narrower than is strictly necessary.  We want to avoid unforeseen difficulties and configurations we haven't tested ourselves. Please be willing to close background processes, etc., in order to free up resources if necessary. 

The last page of this application asks for a URL that shares your system specs with us. Please visit http://specr.me and follow the instructions. You will be given a URL that shows us your specs!

*We have a limited number of "loaner" machines. Check the box on the next page if you are interested in DMing but do not have a machine that is up to spec. Note that other requirements like having at least intermediate computer skills and adequate internet still apply.

 

 Commitment Levels:

There are two levels of commitment for Virtual True Dungeon Volunteers, however preference is given to volunteers able to make a Full-Time commitment for ease of scheduling.  Part-Time Volunteers who have paired up with someone to split a full-time position will be given preference over a lone Part-Time Volunteer request.  If you have paired up with another Volunteer to split a Full-Time position, please enter this information in the "Additional Information" field of the application step 3 of 3, before hitting "Submit".

 

• Full-Time: -- Volunteer Full-Time.  Training Thursday, event days Friday - Sunday.
• Part-Time: -- Volunteer one or two days.  Part-Time Volunteers must be able to participate in the volunteer training required for their position.  The easiest way to secure a part-time position is to team up with another volunteer to split the Full-Time shift.  This makes scheduling easier.  For volunteers who wish to play VTD (in addition to the volunteer run), you will have access to tickets earlier than the general public (Saturday vs. Sunday) so that you can purchase your tickets with your VTD schedule in mind.  Stipend and swag is dependent on the number of days that you volunteer.  Full-Time Volunteers will be scheduled first, with two Part-Time volunteers splitting a Full-Time position scheduled next.

 

Event times for VTD are as follows.  This event is a bit different from our other VTDs, as Friday is a virtual Patron Event, which runs from 5:00 pm - 9:00 pm.  Your schedule will depend on the position you are scheduled for.  VTD Volunteers that wish to be placed earlier/later during the Run of Show should email Lori ASAP once your application is accepted!  All times listed are central (Carbondale local time).

• Friday: 5:00 PM (Noon) – 9:00 PM
• Saturday & Sunday: 10:00 AM – 7:00 PM

Due to the virtual nature of the event, the ONLY positions we need to fill are DMs, 2 Coaches, NPCs, and a few Admin positions (Innkeeper/Epilogue). Please keep this in mind when choosing your volunteer role of choice.

 

**Full Time Benefits**

Full-Time Volunteers receive the benefits listed below after successfully completing all shifts. Physical items are shipped to remote volunteers shortly after their final Sunday shift. In-person Volunteers receive their physical items after their final Sunday shift.

• Stipend: If you satisfactorily complete all your shifts, you receive all the swag shown below plus a check for an amount depending on your volunteer position.
  • Trained VTD DM or Coach:
    • $250 onsite with hotel provided (out-of-town vols)
    • $300 remote or onsite local (no hotel)
  • VTD NPC (actor):
    • $250 onsite with hotel provided (out-of-town vols)
    • $300 onsite local (no hotel)
    • NOT A REMOTE POSITION
  • VTD Innkeeper, Epilogue, or Bluehand (backstage crew):
    • $200 onsite with hotel provided (out-of-town vols)
    • $250 remote or onsite local (no hotel)
  • VTD Golem (camera-person):
    • $300 onsite local (no hotel)
    • NOT A REMOTE POSITION
    •  
• An EXCLUSIVE Ultra-Rare Token: Full-Time Volunteers receive two limited edition volunteer-exclusive tokens, Ring of the Champion and Ring of the Hero
• One of each Completion Token:  Ioun Stone Sea Lion Caltite Sphere (UC) and Charm of the Kraken (R)
• One of each Survivor pins.
• One XP card.
• Forty treasure draws (actual treasure, not chips for future draws)
• Free Hotel Spot: We have a limited number of spots in hotel rooms. Out of town Volunteers may qualify for a free spot in a hotel room with two queen or double beds. NOTE: Your hotel room is available on Thursday night, so you can arrive on Thursday to participate in training Thursday evening, if required by your volunteer position. Check out is Monday, October 3rd, 2022.
• Bonus for volunteering at multiple events: If you successfully volunteer at three different VTD events in calendar year 2022, you get the extra bonus of an Ultra Rare token of your choice from the 2022 or 2021 print runs (subject to availability). You earn this "PYP" for every third event you volunteer for.  If you volunteer FULL-TIME at six virtual events in 2022, you would earn two URs of your choice.  **This bonus was in effect for 2021, and any remaining events (< 3) will be carried over for 2022.  Anyone with carried over events will be contacted by TD HQ to verify the information.**

 

**Full-Time Commitment**

If you are a Full-Time Volunteer, you are required to volunteer during these hours:

• Thursday, September 29th: VTD Training from 5:30 pm - 9:00 pm.  Some positions are able to be trained prior to the Thursday training, so you may not have training on Thursday.  DMs all do a walk-through of their OBS elements (Tech-Check) on Thursday as a group.
• Friday, September 30th – Sunday, October 2nd: Work the listed VTD event hours. There is one shift per day, with multiple break periods during each shift. Volunteers who are in a TD-provided hotel can choose to leave at the end of the event Sunday OR you can stay overnight and checkout Monday. Please discuss arrival/departure dates with TD HQ so that reservations can be accurate.

There will be a Volunteer play-test of the module approximately 2 weeks before the event.  We highly encourage all VDMs to participate. Our goal is to have a DM play test BEFORE the module is posted, make changes as necessary, and then have a volunteer run for any interested Volunteers to participate.  

You must be available at ALL the times listed above to be eligible for Full-Time status. Please do NOT make travel arrangements outside of this schedule unless you have pre-arranged an alternative schedule with TD HQ. We cannot guarantee hotel accommodations if you do not have the details arranged with TD HQ BEFORE you accept your schedule.

 

**Part Time Benefits**

Part-Time Volunteers receive the benefits listed below after successfully completing their shifts. Physical items are shipped to remote volunteers shortly after their final Sunday shift. In-person Volunteers receive their physical items after their final Sunday shift.

  • VTD Golem (camera-person):
    • $100 per event day onsite local (no hotel)

ANYONE interested in volunteering must fill out a Volunteer application as soon as possible. We want to begin the scheduling process now, so the earlier you fill out your application, the earlier we can release the schedule. All Volunteers MUST fill out all the applicable fields. This information is kept secure and is used to select and schedule all Volunteers. While we may be able to accept applications AFTER 9/16/2022, scheduling begins well before that date. Apply before that date to have the best chance at getting the volunteer role you prefer.

Schedules are sent approximately three weeks before the first day of the event from the True Dungeon Volunteer Coordinator to confirm your duties at VTD. However, if everyone gets their applications in early, we can send schedules out early. Please help us get scheduling done early by applying NOW. Volunteer Commitment for Gamehole Con 2023

October 17^th – 22^nd (Tuesday through Sunday)

 

**Please note that as we return to in-person conventions, True Adventures will have a safety protocol that all volunteers MUST adhere to in order to obtain/maintain good standing as a True Dungeon Volunteer.  Failure to follow the safety protocols may result in loss of volunteer benefits, including (but not limited to) stipend, event badge, and hotel accommodation.**

 

There are four different levels of commitment for True Dungeon Volunteers:

• Part-Time -- Volunteer for two event  shifts (Thursday, Friday, or Saturday - October 19^th, 20^th, or 21^st) and three (3) hours on Sunday, October 22^nd.
• Full-Time -- Volunteer for one shift each day (Wednesday - Saturday - October 18^{th -} 21^st) and five (5) hours on Sunday, October 22^nd.
• Local Install & Dismantle -- Volunteer Tuesday, Wednesday and Sunday (October 17^th, 18^th and 22^nd).
• Fill-In -- Volunteer for one shift (Thursday, Friday, OR Saturday - October 19^th, 20^th, OR 21^st).

If you are selected as a Full-Time volunteer, you will receive the following benefits:

• Stipend:  If you complete all your shifts, at the end of the 5.5-hour dismantle shift on Sunday (unless noted otherwise), you will be given all the swag listed below plus a stipend check for an amount depending on your volunteer position.
  • Certified Coach or Combat DM: $400 (full time)
  • Specialized Roles (such as traveling NPCs that also serve as DM): $350 (full time)
  • NPCs (Single Room) and Non-Certified Combat DMs/Coaches: $250 (full time)
  • Puzzle DM or General Volunteer: $200 (full time)
  • Local Install/Dismantle Group: $300 (full time)
• An EXCLUSIVE Ultra Rare token:  This GHC Full Time volunteers receive their choice of ONE (1) of two Ultra Rare, limited-edition, volunteer-exclusive tokens: Charm of Summer or Charm of Winter!
• TD T-Shirt and Swag Bag!
• FREE Gamehole Con badge (will be distributed after Wednesday night training)!
• FREE hotel spot: We have a limited number of spots in hotel rooms.  Out of town volunteers may qualify for a free spot in a 4-person hotel room with two queen or double beds.  Note:  Your hotel room will be available for Tuesday check in so you can arrive on Tuesday for an install shift Wednesday and to attend the mandatory All Hands Meeting and Training Wednesday evening.  We have a small amount of rooms for Monday (October 16^th) check IN and Monday (October 23^rd) check OUT.  If you are able to volunteer for the extended time, please contact volunteer@truedungeon.com BEFORE making any travel arrangements.  We CANNOT guarantee spots in these rooms until it is cleared with TD HQ.

** Full-Time Volunteer Commitment **

If you are a Full-Time volunteer, you are required to help out during these hours at Gamehole Con 2023:

• Wednesday (October 18^th):  You will work an install shift from 11:00 am until 6:00 pm.  You will have an All-Hands Meeting and Training on Wednesday evening from 7:00 pm until 10:00 pm.  These shifts are mandatory.  If you have work or travel issues that will impact your attendance PLEASE let us know BEFORE accepting your schedule so we can see if we can accommodate the issue.
• Thursday, Friday, and Saturday (October 19^th - 21^st):  You will work all three days of the event.  The shift is approximately 8 hours with multiple breaks.  
• Sunday (October 22^nd):  You will work 5.5 hours of dismantle on Sunday (9:00 - 2:30).  We dismantle the event and pack up the materials.  At the end of this shift you will receive your stipend check and swag mentioned above, provided you have fulfilled your volunteer commitment.

IMPORTANT: You must be available at all the times listed above to be eligible for Full-Time status.  Please do NOT make travel arrangements outside of this schedule unless you have prearranged an alternative schedule with TD HQ.  We cannot guarantee hotel accommodations if you do not have the details arranged with TD HQ BEFORE you accept your schedule.

  • Specialized Roles (such as traveling NPCs that also serve as DM): $175 (part time)
  • NPCs (Single Room) and Non-Certified Combat DMs/Coaches: $125 (part time)
  • Puzzle DM or General Volunteer: $100 (part time)

** Part-Time Volunteer Commitment **

If you are a Part-Time volunteer, you are required to help out during these hours at Gamehole Con 2023:

• Wednesday (October 18^th):  You will have an All-Hands Meeting and Training on Wednesday evening.  This shift is mandatory.  If you have work or travel issues that will impact your attendance PLEASE let us know BEFORE accepting your schedule so we can see if we can accommodate the issue.

• Tuesday (October 17^th):  Install shift from 12:00 PM – 8:00 PM (Vols will have a 1-hour meal break for dinner on their own).
• Wednesday (October 18^th):  Install shift from  9:00 AM – 6:00 PM (Vols will have a 1-hour meal break for lunch on their own).
• Sunday (October 22^nd):  Dismantle shift from 8:30 AM – 5:30 PM (Vols will have a 1-hour meal break for lunch on their own). You will be leading the event volunteers in the dismantling of the event, packing/wrapping pallets, etc.  At the end of this shift you will receive your check and swag!

IMPORTANT: You must be available at all the times listed above to be eligible for Local Install and Dismantle status.  Please do NOT make travel arrangements outside of this schedule unless you have prearranged an alternative schedule with TD HQ.

If you are a Fill-In volunteer, you are required to help out during these hours at Gamehole Con 2023:

• Wednesday (October 18^th):  You will have an All-Hands Meeting and Training on Wednesday evening.  This shift is mandatory.  If you have work or travel issues that will impact your attendance PLEASE let us know BEFORE accepting your schedule so we can see if we can accommodate the issue.

IMPORTANT: You will have a chance to specify which specific days you are available for a shift during the application process. Please note that the All-Hands meeting and Training are mandatory.  Please make sure you review the dates and requirements carefully before completing your application.

Your schedule will depend on the position for which you are selected. NPCs and golems must be available until after the last party has gone through their rooms. The schedule of a VDM is dependent upon their position in the Run of Show. VDMs that wish to be placed earlier/later on the Run of Show should either place a comment in their application OR email volunteer@truedungeon.com ASAP once your application is accepted! All times listed are Central Standard Time (Carbondale local time).

• Friday 2:12 pm - 9:00 pm 
• Saturday & Sunday 10:00 am - 7:00 pm

 

• Full-Time -- Volunteer full time (DM Training/Playtest Run in advance of event, Tech Check on Thursday before event, event days Friday - Sunday. If you are in a role OTHER than DM and have not been trained in that position, the DM Training/Playtest Run is optional and virtual training will be arranged prior to the event weekend.)
• Part-Time -- Volunteer one or two days. Part-time volunteers must be able to participate in the volunteer training required for their position. • Bonus for volunteering at multiple events: If you successfully volunteer at three different VTD events in calendar year 2023, you get the extra bonus of an Ultra Rare token of your choice from the 2023 or 2022 print runs (subject to availability). You earn this "PYP" for every third event you volunteer for. If you volunteer FULL TIME at six virtual events in 2023, you would earn two URs of your choice.  **This bonus was in effect for 2022, and any remaining events (<3) will be carried over for 2023.  Anyone with carried over events will be contacted by TD HQ to verify the information.**

 

**Full-Time Commitment**

If you are a Full-Time volunteer, you are required to volunteer during these hours:

• Monday, October 30th (DMs required, other positions optional): DM Training and playtest of the module at 5:30pm. This is scheduled so far out in order to give the programmers the most time we can to make any changes for issues discovered during the playtest.
• Thursday, November 9th (DMs only): DM Tech Check at 5:30 pm. Other positions will have pre-event training at a different time to be determined after schedules go out.
• Friday, November 10th – Sunday, November 12th: Work VTD event during hours listed above. There is one shift per day, with multiple break periods during each shift. Volunteers who are in a TD-provided hotel can choose to leave at the end of the event Sunday OR you can stay overnight and checkout Monday. Please discuss arrival/departure dates with TD HQ so that reservations can be accurate.

You must be available at ALL the times listed above (role dependent) to be eligible for full-time status. Please do NOT make travel arrangements outside of this schedule unless you have pre-arranged an alternative schedule with TD HQ. We cannot guarantee hotel accommodations if you do not have the details arranged with TD HQ BEFORE you accept your schedule.

ANYONE interested in volunteering must fill out a volunteer application as soon as possible. We want to begin the scheduling process now, so the earlier you fill out your application, the earlier we can release the schedule. All volunteers MUST fill out all the applicable fields. This information is kept secure and is used to select and schedule all volunteers. While we may be able to accept applications AFTER 7/27/2023, scheduling begins well before that date. Apply before that date to have the best chance at getting the volunteer role you prefer.

Schedules are sent approximately three weeks before the first day of the event from the True Dungeon Volunteer Coordinator to confirm your duties at VTD. Location Requirements

While this is a "virtual" event, some volunteers must physically come to Carbondale, IL. This is worked out on a case-by-case basis with each volunteer, but generally speaking all NPC actors and first-time Virtual DMs need to be physically present at or near the TD Workshop. All Golems must be in Carbondale. We are able to train some Virtual DMs remotely, so please consider that as an option if travel is not possible. Please indicate by checking the box on the next page if you are UNABLE to physically come to Carbondale.

Virtual DM Requirements

Due to the "virtual" nature of this event, ALL volunteers applying for DM positions must possess at least intermediate computer skills, have adequate internet, be familiar with the Windows operating system, and provide their own computer systems*, the specifications of which include:

• OS: Windows 10 (Sorry, Macs are too difficult to support on this one.)
• CPU: Core i7 CPU (or AMD equivalent) or better
• GPU: DirectX 10.1 compatible GPU
• RAM: 12GB RAM or better
• Storage: Solid State Drive preferred
• Peripherals: Headset with a good microphone. A second monitor is helpful, but not required. You may opt to use a webcam so your players can see you in training if you wish.
• Experience: Above average computing skills and previous experience with OBS/Streamlabs is a huge plus. Please include any relevant experience in your "additional info" on the last page of your application.
• Note: We're intentionally setting these requirements a bit higher and narrower than is strictly necessary. We want to avoid unforeseen difficulties and configurations we haven't tested ourselves. Please be willing to close background processes, etc., in order to free up resources if necessary. 

The last page of this application asks for a URL that shares your system specs with us. Please visit http://specr.me and follow the instructions. You will be given a URL that shows us your specs!

*We have a limited number of "loaner" machines. Check the box on the next page if you are interested in DMing but do not have a machine that is up to spec. Note that other requirements like having at least intermediate computer skills and adequate internet still apply.

There are two levels of commitment for Virtual True Dungeon Volunteers, however preference is given to volunteers able to make a full-time commitment for ease of scheduling. Part-time volunteers who have paired up with someone to split a full-time position will be given preference over a lone part-time volunteer request. If you have paired up with another volunteer to split a full-time position, please enter this information in the "Additional Information" field of the application step 3 of 3, before hitting "Submit".

 

Approximate event start times for VTD 19 are as follows. These are the times that run slots START each day. Each run lasts for approximately two hours, so your scheduled time may run significantly later. Your schedule will depend on the position for which you are selected. NPCs and golems must be available until after the last party has gone through their rooms. The schedule of a VDM is dependent upon their position in the Run of Show. VDMs that wish to be placed earlier/later on the Run of Show should either place a comment in their application OR email volunteer@truedungeon.com ASAP once your application is accepted! All times listed are Central Standard Time (Carbondale local time).

• Friday 2:12 pm - 9:00 pm 
• Saturday & Sunday 10:00 am - 7:00 pm

 

• Full-Time -- Volunteer full time (DM Training/Playtest Run in advance of event, Tech Check on Thursday before event, event days Friday - Sunday. If you are in a role OTHER than DM and have not been trained in that position, the DM Training/Playtest Run is optional and virtual training will be arranged prior to the event weekend.)
• Part-Time -- Volunteer one or two days. Part-time volunteers must be able to participate in the volunteer training required for their position. The easiest way to secure a part-time position is to team up with another volunteer to split the full-time shift. This makes scheduling easier. Stipend and swag is dependent on the number of days that you volunteer. Full-time volunteers will be scheduled first, with two part time volunteers splitting a full-time position scheduled next.
