Volunteer Commitment for Virtual TD
December 5th – 7th (Friday – Sunday)
Location Requirements
While this is a "virtual" event, some volunteers must physically come to Carbondale, IL. This is worked out on a case-by-case basis with each volunteer, but generally speaking all NPC actors need to be physically present at or near the TD Workshop during the event weekend. All Golems must be in Carbondale. We are able to train Virtual DMs remotely, so please consider that as an option if travel is not possible. Please indicate by checking the box on the next page if you are UNABLE to physically come to Carbondale.
Virtual DM Requirements
Due to the "virtual" nature of this event, ALL volunteers applying for DM positions must possess at least intermediate computer skills, have adequate internet, be familiar with the Windows operating system, and provide their own computer systems*, the specifications of which include:
- OS: Windows 10 or above (Sorry, Macs are too difficult to support on this one.)
- CPU: Core i7 CPU (or AMD equivalent) or better
- GPU: DirectX 10.1 compatible GPU
- RAM: 12GB RAM or better
- Storage: Solid State Drive preferred
- Peripherals: Headset with a good microphone. A second monitor is helpful, but not required. You may opt to use a webcam so your players can see you in training if you wish.
- Experience: Above average computing skills and previous experience with OBS/Streamlabs is a huge plus. Please include any relevant experience in your "additional info" on the last page of your application.
- Note: We're intentionally setting these requirements a bit higher and narrower than is strictly necessary. We want to avoid unforeseen difficulties and configurations we haven't tested ourselves. Please be willing to close background processes, etc., in order to free up resources if necessary.
The last page of this application asks for a URL that shares your system specs with us. Please visit http://specr.me and follow the instructions. You will be given a URL that shows us your specs!
*We have a limited number of "loaner" machines. Check the box on the next page if you are interested in DMing but do not have a machine that is up to spec. Note that other requirements like having at least intermediate computer skills and adequate internet still apply.
There are two levels of commitment for Virtual True Dungeon Volunteers, however preference is given to volunteers able to make a Full-Time commitment for ease of scheduling. Part-Time volunteers who have paired up with someone to split a Full-Time position will be given preference over a lone Part-Time volunteer request. If you have paired up with another volunteer to split a Full-Time position, please enter this information in the "Additional Information" field of the application step 3 of 3, before hitting "Submit".
Approximate event start times for Grunnel’s Holiday Special Part 3 are as follows. These are the times that run slots START each day. Each run lasts for approximately two hours, so your scheduled time may run significantly later. Your schedule will depend on the position for which you are selected. NPCs and golems must be available until after the last party has gone through their rooms. The schedule of a VDM is dependent upon their position in the Run of Show. VDMs that wish to be placed earlier/later on the Run of Show make sure to reply to the Run of Show Requests email that will be sent out prior to the event! All times listed are Central Time (Carbondale local time).
- Friday 4:36 pm - 9:00 pm
- Saturday & Sunday 10:00 am - 7:00 pm
- Full-Time -- Volunteer Full-Time (DM Training/Playtest Run in advance of event, Tech Check on Thursday before event, event days Friday - Sunday. If you are in a role OTHER than DM and have not been trained in that position, the DM Training/Playtest Run is optional and virtual training will be arranged prior to the event weekend.)
- Part-Time -- Volunteer one or two days. Part-Time volunteers must be able to participate in the volunteer training required for their position. The easiest way to secure a Part-Time position is to team up with another volunteer to split the Full-Time shift. This makes scheduling easier. Stipend and swag is dependent on the number of days that you volunteer. Full-Time volunteers will be scheduled first, with two Part-Time volunteers splitting a Full-Time position scheduled next.
Due to the different type of event, the ONLY positions we need to fill are DMs, 2 Coaches, NPCs, and a few Admin positions (Innkeeper/Epilogue). Please keep this in mind when choosing your volunteer role of choice.
**Full-Time Benefits**
Full-Time volunteers receive the benefits listed below after successfully completing all shifts. Physical items are shipped to remote volunteers after the event weekend concludes. In-person volunteers receive their physical items after their final shift.
- Stipend: If you satisfactorily complete all your shifts, you receive all the swag shown below plus a check for an amount depending on your volunteer position.
- Trained VTD DM or Coach:
- $350 onsite with hotel provided (out-of-town vols)
- $400 remote or onsite local (no hotel)
- VTD NPC (actor):
- $400 onsite local
- NOT A REMOTE POSITION
- VTD Innkeeper, Epilogue, or Bluehand (backstage crew):
- $300 onsite with hotel provided (out-of-town vols)
- $350 remote or onsite local (no hotel)
- VTD Golem (camera-person):
- $400 onsite local (no hotel)
- NOT A REMOTE POSITION
- An EXCLUSIVE Ultra-Rare Token: Full-Time volunteers receive their choice of one of our 2025 Ultra Rare, limited-edition, volunteer-exclusive tokens: Charm of the Champion (UR) or Charm of Valkyrie’s Kiss (UR)!
- One To-Be-Announced Holiday Themed Completion Token
- Both Survivor pins.
- One XP card.
- Twenty treasure draws (actual treasure, not chips for future draws).
- Free Hotel Spot: We have a limited number of spots in hotel rooms. Out of town volunteers may qualify for a free spot in a hotel room with two queen or double beds. NOTE: Hotel room availability (check in and check out dates) will be pre-arranged with TD HQ via e-mail prior to the event.
- Bonus for volunteering at multiple events: If you successfully volunteer Full-Time at three different events in calendar year 2025, you get the extra bonus of an Ultra Rare token of your choice from the 2024 or 2025 standard print runs (subject to availability). This applies to both virtual and in-person events. This bonus also stacks with Part-Time events both virtual and in-person. For example, if a vol works two Part-Time shifts for VTD Runeheim Reforged, VTD Runeheim Revenged, and Grunnel’s Holiday Special Part 3 (six shifts total), and also works Full-Time at Gen Con (three in-dungeon shifts) they would be eligible for a PYP. PYPs are tracked by HQ, and you may request your current PYP status at any time by e-mailing volunteer@truedungeon.com.
- NOTE: Please bear in mind that while in-dungeon shifts are what is counted toward the total, volunteers are still expected to show up for install/teardown/tech check/etc. shifts as required by their role at each event. Failure to attend those shifts without prior written permission from TD HQ may disqualify a vol from the PYP program.
**Full-Time Commitment**
If you are a Full-Time volunteer, you are required to volunteer during these hours:
- Monday evening TBD (date tentative and subject to change - volunteers will receive e-mail notice of final playtest date and time): Playtest of the module at 5:30pm. This is scheduled so far out in order to give the programmers the most time we can to make any changes for issues discovered during the playtest. NPCs in attendance will be expected to read their dialogue from the module during this playtest.
- Thursday, December 4th (DMs only): DM Tech Check at 5:30 pm Dungeon (Central) Time. Other positions will have pre-event training at a different time to be determined after schedules go out.
- Friday, December 5th – Sunday, December 7th: Work VTD event during hours listed above. There is one shift per day, with multiple break periods during each shift. Volunteers who are in a TD-provided hotel can choose to leave at the end of the event Sunday OR you can stay overnight and checkout Monday. TD HQ will contact volunteers in TD-provided hotel rooms to discuss arrival and departure dates prior to the event so that reservations will be accurate.
You must be available at ALL the times listed above (role dependent) to be eligible for Full-Time status. Please do NOT make travel arrangements outside of this schedule unless you have pre-arranged an alternative schedule with TD HQ. We cannot guarantee hotel accommodations if you do not have the details arranged with TD HQ BEFORE you accept your schedule.

**Part-Time Benefits**

ANYONE interested in volunteering must fill out a volunteer application as soon as possible. We want to begin the scheduling process now, so the earlier you fill out your application, the earlier we can release the schedule. All volunteers MUST fill out all the applicable fields. This information is kept secure and is used to select and schedule all volunteers. While we may be able to accept applications AFTER 10/01/2025, scheduling begins well before that date. Apply before that date to have the best chance at getting the volunteer role you prefer.
Schedules are sent approximately three weeks before the first day of the event from the True Dungeon Volunteer Coordinator to confirm your duties at VTD. However, if everyone gets their application in early, we can send schedules out early. Please help us get scheduling done early by applying NOW.
